How do you handle recordkeeping?

Everyone, welcome back to Safety Instruct. Happy Monday to everybody. So, today’s topic, we want to talk to you guys about how record keeping during this time, what the new norm looks like for people and what kind of solutions we can provide for everyone. And so, this is Daniel Wilder, the president and CEO of Safety Instruct. Of course, you guys know who I Am, I am just the director of business development. So, all right, Daniel, let’s go ahead and get started for everyone so they can get their knowledge scooped into their lives here. So why do you think recordkeeping is difficult? And we’re talking, you know, safety specific for specific for the purpose of this conversation?

Daniel

Sure. Yeah, and obviously it’s great to be here. You know, I’d say one of the most difficult reasons for companies with record keeping is uniformity. You know, it comes down to having a process in place for how they’re always going to file paperwork. And it’s not just training records and ends up being, you know, employee issues, incident reports, near misses. The list goes on. And unfortunately, especially with even mid-sized companies, if you have multiple locations, it ends up being an issue of, well, location A is going to end up doing it this way. Location B may do it this way. You know, just because you have preferences to really looking at a top-down approach involving that by saying, you know, putting in a standard and stating how not only are you going to record that information, but also, you know, where’s that peer check going to been that process? Who is going to be responsible for ensuring that when you fill out a training record or report a reform, that someone is sweeping behind you to make sure that that quality is there?

Perfectly, I agree with you on that one hundred percent, so let’s just kind of go into terms of this on this question. Do you feel that the difficulty of online record keeping? Do you feel like it’s hard for people? Because I know there’s some people out there, especially some HR people or safety people, sometimes are scared away from online versions of record keeping because they like the traditional hard copy in hand, you know, and kind of showing my millennial roots here. They are a little bit scared of doing something online. Right, because they may not trust America’s hearts. So, what can you tell the audience on that as far as the security for record keeping online? And actually, between what you and I have discussed, it’s actually more secure than having hard copies. OH, I don’t know what would be the answer to people that may have those concerns?

Daniel

Well, you know, just to start off with, it’s 2020. So, change is pretty much inevitable in every system and process in your company. And moving to an online solution is challenging in the beginning. But it’s just like anything else, right? That first day of going working out, that’s the hardest day. Right. But building that habit of how you’re going to do that record keeping is important. And when you look back again to those systems or processes for how you’re handling the quality of your training and your record keeping when you have an online solution, everybody’s looking at the same page, right? So, you don’t have this delay of forms or physical paper documents. Instead, you’re getting a notification as soon as that happens. Not to mention the fact that, you know, if someone else has to do a peer check, they can-do it quickly and they’re all working off the same document instead of multiple ones. And your question for security is 100 percent correct there. It’s much more secure online. Not to mention the simple fact that, you know, there it’s not like you have to dive, you know, overboard when you look at implementing a solution. There’s plenty of steps in that process. Right. You can look at something like even as simple as a Google share doc, we have clients that utilize that. It’s you know, it’s going to be what’s the best fit for you to begin with. But taking that first step is critically important, especially now.

Perfect, well said, I think you would address most people’s concerns on that last point I’ll make I’ll jump on to the next question is that people trust their money online, but not their record keeping credit card, online banking, cashing checks online. They have no questions there. But all of a sudden, when it comes to online safety records, which I mean, they’re very sensitive, obviously, but probably not so much of concern as your actual money and financial well-being. So that’s the kind of an edge online with people on that. But anyway, yes, that very well. I think everyone has concerns about everyone’s in the same places. You know, we are a technology wise or whatever any places. You other places. You our clients are. But OK, let’s go on to the next question are. But how are companies currently now with the new norm changing how they’re doing? Recordkeeping kind of answered a little bit of that and question one, but more specifically here

You know, and again, it goes back to I think so many companies are getting their hands for now. You know, I knew I had a lot of clients that we would do different types of our products or services for. And they were always like, you know, next year we will move to online training or next year we’ll think about an online platform. But now in 2020, they don’t have a choice. And so, because of that, it’s forced a lot of companies to look at what are the steps to implement. But then also what are the ways that we can do this quickly and efficiently and cost effectively. And so again, you mentioned the kind of shared documentation earlier as an example. And there are other solutions. You know, if you have a lot of security and you’re in your company, maybe you use an internal intranet or other type of fire or have a document that certain people can access SharePoint or something similar. You know, we have clients that do it that way. Obviously, we have an online system that allows you to do all that record keeping and more forms of management etc, that’s obviously a solution. But the one thing I would encourage everyone is to find someone who has either already implemented this or can at least help you in that process. You know, as a business owner, one of the biggest things I got to learn was realizing I cannot wear every hat. I’ve got to find those industry experts in in a specific realm. I’m not a video editor. Right. So, I went out and hired a person that can edit video. And it’s the same thing when you’re a company, especially a larger company, who may have multiple locations or multiple methods for record keeping. Look at hiring us, a consultant, someone I mean, there’s plenty of trainers who would beaver the moon to help you right now that I’m looking for work. And they could give you, you know, experience, especially methods of implementation. They have seen with other companies that you may not have think of, think about. So, again, you know, I would encourage companies, baby step. It’s not a one size fits all solution. Right. What’s going to work best for you is the first solution. Right thing to ask. And the second thing to ask is how can I outsource or facilitate someone with more experience to help make this process as frustration free as possible? Because that’s the other part. You make it too difficult. Nobody is going to use difficult. Nobody wants to.

Yeah. So really trying to find the ways that you can reduce that implementation.

Justin

Perfect. Well, well said I’d even attend a little expounding a little bit on what you had just mentioned there. I think people initially, when they hear online record keeping and changing to the new norm, it’s very intimidating for somebody that has multiple records. They’re not sure how the process goes. No one ever talks them through goes. No lot of your other not trying to blame anybody, but a lot of other LMS carriers are safety specific. Just kind of give you a box and leave you.

Definitely. Yeah.

Justin

They’re like, hey, good luck. You have the to figure out how to use it. And we’re out of here by the X number of dollars a month in that seat. Right. So, between you and I both, we’ve had clients that when we had taken on and onboard a lot of it was the ability to walk them through the process and a lot of the ability to even offer to train them. I mean, honestly, honestly, with this whole process, we want to be as obsolete as possible in that sense. But we’re always here for you. We’re always here to have consultations. If you are always here to help answer those questions and answer like the technical stuff. That’s why we have the chat and that’s why we have the ticket item on our site.
